How Does Rainchk Work?



What is Rainchk?


Simply put, Rainchk is a service that automates booking any open appointment windows. Saving your team time and allowing you to focus on a better client experience. 


What is a Rainchk?

A Rainchk is the process we use to automate outreach with clients and book any open appointment windows you don't have time to fill.

What is a Waitlist?

The list of clients who have booked a date in the future and have expressed interest in booking an earlier appointment. This is best kept as full as possible, as a larger waitlist means you have more clients to ask if they would like to take a future appointment.

A good rule of thumb is to ask if your clients would like to be added to a waitlist if they would like an earlier appointment.

How Does Rainchk Work?


1. Build your Waitlist 


As clients are booked, ask if they would like to be added to a waitlist. If they give you consent, add them to your waitlist in Rainchk. This gives Rainchk more clients to engage with to book an earlier appointment

2. Create Rainchks 


When you have an open appointment window, create a Rainchk. Rainchk will begin communicating with clients on your waitlist based on the appointment criteria.

3. Confirm the Rainchk and update your EHR 


Once a client has accepted a Rainchk, a front desk personnel will be notified to confirm the appointment. You then will have to update your EHR system to reflect the new booking.  


How to confirm a Rainchk

Once a client qualifies and accepts a Rainchk, the Front Desk is given an opportunity to confirm the Rainchk and add it into your EHR system. This helps the Front Desk catch coordination errors, where another team member has accidentally booked an appointment while Rainchk is attempting to book the same period.

Our tip is to put a block in your EHR to signal that Rainchk is attempting to book a current client. This helps you create a better experience for your current customers, and helps clarify what is open for new client versus what is being booked externally.

How to decline a Rainchk

Sometimes a coordination error happens, or a book keeping error where a client can only be seen in certain scenarios or after a certain window of time.

We allow you to decline a Rainchk a customer has accepted, so that your front desk can always be the final say in what ends up in your appointment book.

Again, a tip is to put a block in your EHR to signal that Rainchk is attempting to book a current client. This helps you create a better experience for your current customers, and helps clarify what is open for new clients versus what is being booked externally.
